AI & workflow automation

Make repetitive work reliable.

We map the process, build the system and keep people in control of every exception.

Start with the work that slows your team down.

You do not need to choose an AI model or automation tool. Show us the work, the exceptions and the result your team needs.

Documents need to be read and re-entered

Orders, forms, invoices or reports move between inboxes, spreadsheets and business systems.

Enquiries wait for the right person

Staff sort, classify and route requests by hand, while customers wait for a useful response.

Approvals disappear into messages

Handoffs have no consistent owner, evidence or clear record of what was approved.

Reports take effort to rebuild

Teams repeatedly collect the same information before they can understand what is happening.

Should this workflow be automated?

Automation is worthwhile when the cost of repeated work, errors and delays is greater than the full cost of changing and operating the workflow.

Start with the cost of the work today

Frequency × time per run × fully loaded staff cost

  • + Rework caused by mistakes
  • + Delays and missed opportunities
  • + Training, supervision and handover

Compare the full cost of automation

Implementation spread across a useful decision period

  • + Software, integration or AI usage
  • + Maintenance and monitoring
  • + Human review of exceptions

The honest answer can be one of three paths.

Keep it manual for now

The work is infrequent or inexpensive, and the current team can control quality without excessive management effort.

Automate with rules

The work repeats often, the steps are stable and structured inputs can remove copying without adding AI.

Add AI after the workflow is stable

Unstructured messages or documents create enough cost to justify AI, evaluation and human exception review.

A lower-cost human process may still be the better decision.

If a remote data-entry role costs less than the full automation alternative, and the business can manage quality, access, continuity and handover, automation can wait.

An AlphaBlue assessment can recommend automation, a smaller process improvement or no immediate build. The objective is a better business result, not automation for its own sake.

We build around the business process, not the tool.

Every engagement has a clear owner, an agreed boundary and evidence for deciding whether the workflow is ready to expand.

  1. Understand the current workflow

We document the people, steps, systems, delays, exceptions and risks that already exist.

    Output: Workflow assessment

  2. Design the smallest useful change

We decide what belongs in rules, software, AI and human approval before implementation starts.

    Output: Approved phase-one scope

  3. Build and evaluate

We test representative inputs, uncertain cases and expected failures, not only the happy path.

    Output: Working pilot and evidence

  4. Introduce it with control

We release gradually, document ownership and keep a practical path back to human handling.

    Output: Implemented workflow

Check the workflow before expanding it.

A pilot report shows what ran reliably, what stopped for human review and what evidence supports the next decision.

Illustrative sample

AUTOMATE pilot delivery report

Daily order intake workflow

Structured orders now move through validation, record creation and acknowledgement while incomplete or conflicting requests stop for review.

Pilot status

Proceed with controlled use

Reporting point
Pilot review
Workflow reference
Order intake baseline W1
Operating mode
Human-controlled

Control baseline

Valid structured orders may continue automatically. Missing, conflicting or unfamiliar inputs must stop for an authorised person.

V1 uses deterministic rules. AI-assisted intake remains a later option after the core workflow is stable.

Pilot findings

Known order path

Passed

Complete orders were validated, written to the agreed business record and acknowledged without duplicate entry.

  • Representative cases
  • Integration log
  • Acknowledgement record
Incomplete or conflicting input

Human review worked

Requests with missing fields, unknown products or conflicting delivery details stopped before fulfilment.

  • Exception queue
  • Reviewer action
  • Audit trail
Recovery path

Verified

The team can return to the agreed manual process when the integration or downstream system is unavailable.

  • Fallback checklist
  • Recovery test
  • Owner confirmation

Go, revise or stop

Proceed with controlled use and keep the human gate.

Expand only after the team confirms the exception queue, ownership and measurement window remain workable in daily operations.

Sample data for demonstration. A real report links to the complete evaluation cases, logs and approved workflow boundary.

A good workflow is repeatable, owned and worth improving.

The assessment can recommend automation, a conventional software change, a custom system, further discovery or no action.

Usually a good fit

  • The same work happens often enough to observe
  • A business owner can explain the intended result
  • Exceptions can stop for human review
  • Representative examples are available for evaluation

Usually needs another path

  • The process changes every time and has no owner
  • The goal is to remove accountability from a high-risk decision
  • The request is only for a tool template or prompt pack
  • The work requires emergency or 24-hour operational support

You should be able to inspect what you are buying.

Before expanding a workflow, we make its boundaries, decisions and operating evidence visible.

Completed automation projects include a 14-calendar-day defect warranty for agreed deliverables. Ongoing operation and third-party services remain separate.

Current and proposed steps, owners and handoffs.

Evaluation plan

Representative cases, exceptions and acceptance evidence.

Human approval design

Who can approve, reject or correct uncertain results.

Deployment checklist

Access, ownership, rollout and recovery conditions.

Audit record

A trace of inputs, decisions, approvals and resulting actions.

Questions before an assessment

Do I need to know which AI tool to use?

No. We start with the workflow and decide whether rules, conventional software, AI or a combination is appropriate.

Will the system make decisions without people?

Only within an explicitly approved boundary. Uncertain, exceptional or high-impact cases should stop for authorised human review.

Can you connect our existing systems?

Often, but feasibility depends on available APIs, access, data quality, licensing and the security boundaries of each provider.

What happens after the assessment?

We may recommend a proposal, paid discovery, a conventional software change, another AlphaBlue service or no immediate build.

Show us the workflow before choosing the technology.

Describe the current work, the main problem and where people still need to decide.
